Naming and sorting your documents well

A few simple principles to name, file and find your documents effortlessly, even when the vault fills up.

A well-organised vault means a document found in two seconds the day you need it. Good news: Noryo already does much of the work thanks to <strong>content search</strong>. But a few simple habits when you add a document will save you valuable time later on.

Start from the ready-to-use folders

Noryo already offers a folder structure covering most needs. Before creating your own, check that an existing folder does not fit: it keeps your vault easy to read.

  • <strong>Identity</strong>: ID card, passport, licence
  • <strong>Invoices</strong> and <strong>Contracts</strong>: purchases, subscriptions, commitments
  • <strong>Tax</strong>: notices and returns
  • <strong>Insurance</strong>: policies and certificates
  • <strong>Payslips</strong> and <strong>Bank statements</strong>
  • <strong>Other</strong>: anything that does not fit anywhere else

Need a category that is missing? Create a custom folder, but sparingly: too many folders hurt as much as too few.

Adopt a naming convention

A clear name beats a mysterious one. The idea is to be able to recognise a document at a glance, and to make it easy to surface in search.

A good name contains the document type, the issuer and the period.

Keep an eye on the validity badges

Some documents have a lifespan. Noryo shows badges to spare you nasty surprises, for example an expired ID on the day of a trip.

Search does the rest

Even filed in the right folder, a document is mostly found through search. Noryo recognises the content of your documents: you can therefore type a word that appears <em>inside</em> the document, not just in its name. A tidy name simply makes those results even more reliable.

A few good habits

  • Rename the document when you add it, while it is fresh in your mind
  • File it right away in the right folder rather than in "Other"
  • Replace expired documents instead of piling them up
  • Keep custom folders for genuinely recurring needs
